Privacy Policy

1. Introduction

CaptureCompass (“we,” “us,” or “our”) is a product of Arrington Innovative Solutions, LLC (“AIS”). This Privacy Policy describes how we collect, use, store, and protect your information when you use the CaptureCompass application and website (the “Service”).

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

2. The Short Version

  • Your original photos and videos never leave your phone. We store records about them, not the files.
  • We store what you type and choose so CaptureCompass can suggest what to capture next.
  • Event records are deleted automatically after a set time, and you can export them first.
  • We do not sell your data, and we do not use it to train AI models.
  • You can delete your account and data at any time.

3. Information We Collect

3.1 Account Information

Your email address, display name, and password (stored by our authentication provider in hashed form).

3.2 Profile Information

What you tell us during setup so suggestions fit you: your roles, topics, audiences, voice and tone, and signature content.

3.3 Events, Cues, and Capture Records

  • Events you create (name, type, venue, city, dates, objective)
  • The choices you make when asking for a Cue (what’s happening, who’s available, time, focus)
  • AI suggestions you receive, save, or capture
  • Capture records: title, description, talking points, tags, notes, content lane and type, favorite and retake marks
  • Optional small preview images (about 40 KB) if you choose to add one. Never the original file.

3.4 People in Your Captures

If you choose to note who appears in a capture, we store the name, title, and organization you enter and any permission that person gives through the Service (their typed name, the permission text they saw, and the time). Only you can see these records.

3.5 Feedback and Usage

Feedback you send us, and usage counts such as how many AI requests you made each day. Usage records contain no content.

3.6 Technical Information

IP address, device and browser information, and server logs, used for security, abuse prevention, and keeping the Service running. If bot protection is enabled on sign-in forms, it may evaluate browser signals to tell people from automated traffic.

3.7 What We Do Not Collect

  • Your original photos and videos (they stay on your device)
  • Payment information (the pilot is free)
  • Advertising trackers. We use only the cookies and on-device storage needed to keep you signed in, remember your settings, and hold captures safely on your phone until they sync.

4. How We Use Your Information

  • To provide the Service: suggest what to capture, keep your Vault, and show your content coverage
  • To personalize suggestions to your profile, your event, and what you have already captured
  • To send account emails (password setup and resets, sign-in security)
  • To send product emails only if you opted in; you can opt out at any time
  • To enforce daily limits, protect against misuse, and keep the Service secure
  • To understand, in aggregate, how the Service is used so we can improve it
  • To comply with legal obligations

5. AI Processing

When you ask for a Cue or another AI feature, the inputs needed to answer (your profile, your current event, your choices, and a summary of what you have captured) are processed by an AI model to generate the suggestion. Originals never leave your device, so no photos or videos are processed. We do not sell your data or use it to train AI models, and our AI provider processes it only to return the response to us.

6. Data Storage and Security

Your data is stored in a secured database with row-level security, so each account can only access its own records. All data is transmitted over encrypted HTTPS connections. While we use industry-standard security measures, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Service Providers

We use trusted providers to run the Service:

  • Database, authentication, and file storage
  • Application hosting
  • Transactional email delivery
  • AI model processing
  • Bot protection on sign-in forms

Each provider processes data only to deliver its part of the Service and operates under its own privacy and security commitments.

8. Data Retention and Deletion

  • Event records (captures, saved and captured Cues, people and permissions for that event): 90 days after the event ends, then deleted automatically
  • AI suggestions you did not save or capture: 7 days
  • Ideas you saved for later but did not capture: 30 days
  • Captures you delete: removed within a day
  • Rate-limit and security logs: deleted automatically after 24 hours
  • AI usage records (counts and estimated cost, no content): up to 400 days, for abuse prevention
  • Your account and profile: until you delete your account

You can export your records at any time from the Vault or Data & Privacy. You can delete your account and all associated data at any time in Data & Privacy, or by contacting privacy@arringtonis.com. Deletion from our live systems is immediate; copies in our providers’ encrypted backups expire on their normal rotation.

9. Children’s Privacy

The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us immediately.

10. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access and receive a copy of your personal data
  • Correct inaccurate personal data
  • Request deletion of your personal data
  • Object to or restrict processing of your data
  • Data portability (receive your data in a structured format)
  • Withdraw consent at any time

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or in-app notice and update the date above. Your continued use of the Service after changes constitutes acceptance of the updated policy.
